Add a client with Quick add

Quick add books a client you already know: a name, a way to reach them and a time. The sections below cover what it needs, what it sends, and what a client with only a phone number can't get.

The short answer

  • Press + at the bottom of Cake, then Quick add.
  • You need a first name, an email or a phone, a date, a start time and a length.
  • Book it now books the session and sends nothing.
  • A client with only a phone can be booked, but Cake can't email them or message them.

5.2.1 Add the client and book the time

Rosa stands in for your client's name.

  1. Press + at the bottom of Cake, then Quick add. The + shows on Home, Requests, Calendar, People and your conversation list.

  2. Under Who for, type a name, an email or a phone. Matching clients appear: tap one, or add the name as a new client.

  3. Fill in Email or Phone. You need at least one.

  4. Under When, pick the date, the start time and the zone. The zone starts as your Timezone and changes this booking only.

  5. Under Session length, pick 1h, 2h, 3h, 4h, Full day or Custom. It starts at 2h. Custom has an Hours box.

  6. Add a Description if you like, up to 600 characters. Your client doesn't see it. When Google Calendar is connected, it shows on the session in Google Calendar.

  7. Press Book it now.

Note: You need a first name, an email or a phone, a date, a start time and a length. If one is missing, a line above the button starts Still needed: and names it.

You can also open Quick add from Book a time in the New piece sheet on a client's page, or from Book next session on the Wrap up screen. Both open it already filled in.

5.2.2 What Book it now sends

Book it now books the session and sends nothing. The panel reads Rosa is on the books and says nothing has been sent. Cake shows where their confirmation would go.

  • Send their confirmation: Emails Rosa a link to their appointment. That send also lets Cake email Rosa later, reminders included.
  • Copy their link: Shows when there's no email on file. Copy the link and send it yourself.

For the link and what your client sees there, read Give a client their link.

5.2.3 Send a time to look over instead

Press Send to Rosa to switch the form. The other button then reads Book it now instead. Cake emails Rosa a link with one offered time, your estimate and the deposit, and a Choose your time button. Nothing is booked, and Cake doesn't hold the time for Rosa until they finish.

  • What you fill in: Price from $, and Up to $ if you want a range. Then pick how the deposit is handled: Card payments, Payment apps, Both or No deposit, and type the Deposit $. Your note shows if you have a saved approval note.
  • Card: With Card payments, Rosa pays by card through your Stripe, and paying locks the time. Stripe takes its card processing fee from your payout. The card rows stay greyed out until your card setup is ready.

5.2.4 A client with only a phone

A client with only a phone can be booked, but Cake can't email them or message them.

  • You can book them: A first name and a phone are enough.
  • Cake can't email them: The confirmation, the review link and reminders are all email. The client card says "Only a phone on file" and that you can text them yourself.
  • You can't message them in Cake: Cake says it has no email for Rosa, so it can't send the message.
  • Cake doesn't text them: A text reminder needs the client's own yes, and the only way to give it is the box on your request form. A client you add with Quick add hasn't given one.
  • What you can do: Press Copy their link and text it yourself. To open a conversation later, add an email from the request.

To add an email, read Fix a client's name, email or photos.

5.2.5 Questions

Cake says the time is already taken.

On Book it now, Book it anyway books over your own sessions. It can't book over a time a client is paying for: an open deposit report or card checkout stops it, and Cake says to pick another time. Busy time in Google Calendar and a day your hours keep closed use a button named Book anyway.

Cake says the email or phone belongs to another client.

Cake names the client and offers a button to book that client instead. The booking files under the client you pick.

What's Full day?

It fills in your saved hours for that weekday. If your hours keep that day closed, check the pre-filled Start time and End time.
